Booking.com Is Removing Registration Links: Introducing the VCI Fixed Link

Maintaining compliance for holiday rentals in Spain has always required a delicate balance of automation and accuracy. For years, property managers have relied on automated messaging to send unique guest registration links. However, a significant policy shift from Booking.com has suddenly disrupted this workflow, leaving many hosts in a precarious position regarding legal compliance.

As of July 16, 2026, Booking.com has tightened its messaging security. While their public documentation may still suggest that domain whitelisting is possible, our technical team has confirmed that they are now enforcing exact-URL-only approval.

The Sudden Death of the Unique Registration Link

Standard guest registration platforms operate by generating a Unique Registration URL (UURL) for every individual booking. This ensures that when a guest clicks the link, they are taken directly to their specific form without needing to log in.

The problem is that these URLs are, by definition, unique. A link for a guest arriving on Monday is different from one for a guest arriving on Friday. Because Booking.com now requires you to pre-approve the exact URL path in their extranet, these per-booking links can never be pre-approved.

The result? Booking.com's automated filters detect an "unapproved" link and immediately strip it. Your guests no longer see a helpful registration link — they see a frustrating [Link removed] placeholder.

The Legal High Stakes of SES Hospedajes

This is not merely a minor technical glitch or a customer service annoyance. In Spain, guest registration is a strict legal requirement under SES Hospedajes (Spain's mandatory digital platform for traveler reporting).

If the registration link fails and the guest does not complete their check-in form, the property owner is the one held responsible. Failing to submit guest data to the Spanish authorities within 24 hours of arrival can lead to significant fines and legal exposure. When the primary communication channel, the Booking.com messaging platform, silently breaks, your compliance chain is broken with it.

Introducing the VCI Fixed Link Solution

At Villa Check In, we monitored this change in real-time and immediately engineered a permanent solution. We have moved away from sending unique, per-booking URLs for Booking.com guests. Instead, we have implemented the Fixed Link Concept.

What is a Fixed Link?

A Fixed Link is a single, static URL that never changes. For Villa Check In, this link is: checkin.villacheckin.com

Because this URL is static, you can approve it once in your Booking.com extranet security settings, and it will work forever. It will never be stripped, and it will never be marked as "unapproved."

How the Triage System Works

When a guest clicks this fixed link, they are taken to our secure "triage" worker. To protect data privacy while working within Booking.com's email masking, the system asks the guest for two pieces of information:

  1. Surname
  2. Arrival Date

These are two details that every guest knows and that survive Booking.com's masking in the messaging system. Once the guest provides these, our system instantly resolves their booking in our database and redirects them to their actual, secure registration form.

Engineered for Surgical Precision

We understand that a "one size fits all" approach often creates more problems than it solves. That is why our implementation of the fixed link is highly targeted.

  • Surgical Scope: The fixed link is only triggered when our system detects a guest using a Booking.com masked email alias (e.g., @guest.booking.com). It also requires a property-level toggle in the Guest-Flow app, ensuring you have full control over the feature.
  • Zero Impact on Direct Bookings: Guests who book directly with you or through other platforms will continue to receive their standard one-click UURL. We have ensured there is zero change to the frictionless experience for your direct-booking customers.
  • Link Sanitization: Our stripnonfixedlinks() logic ensures that when a message is sent to a Booking.com guest, only the approved registration link remains clickable. Other elements like logos or footer links are downgraded to plain text to prevent the entire message from being flagged or stripped.
  • Reliable Delivery: This update has an added benefit for mobile communication. By using a pre-approved fixed link, we avoid failed sends caused by empty link placeholders in message templates (Twilio error 21656), making our automated WhatsApp and SMS delivery more reliable than ever.

How to Enable Your Fixed Link

Restoring your automated guest flow is a straightforward process. We have provided the tools to make this transition as smooth as possible for property managers and owners.

  1. Activate the Toggle: Enable the "Booking.com Fixed Link" setting for your properties in the Guest-Flow app — or ask our team and we will switch it on for you.
  2. Approve the URL: Visit our Booking.com approval guide for a step-by-step walkthrough on how to add checkin.villacheckin.com to your Booking.com extranet security settings.
  3. Update Templates: Use our updated owner email templates to ensure your communication stays professional and clear.

Our triage interface is available in six languages and includes an official-service footer with our brand and CIF to maintain guest trust. We want your guests to feel confident that they are using a legitimate, secure service for their guest registration.
